Connect to an ASU English Canon Printer/Copier

These instructions are for Apple and Windows computers that are not on the ASURITE domain (“on the domain” means that you are required to login to the computer with your ASURITE or ASUAD ID/PWD). For Windows computers that are on the domain, see this document instead.
- If your computer is on Wi-Fi, you must be on the ASU (not ASU Guest) network.
- For best results, use the recommended driver linked below.
- If you do not know the IP Address of the department printers, please email me.
- You can print PDFs via a USB device on the larger, newer Canons.
- The printers will ask for a Department ID code; input the last 4 digits of your ASU Affiliate ID and leave the password blank.
- If the last 4 digits of your ASU Affiliate ID do not work, or if you are new to English, use this form.
- If you also have the ASU Print Anywhere Driver installed, you will need to use the Canon PCL6 driver instead of the Generic UFR driver. Our building Print Anywhere copier is by the west elevator and can print in color (.50 cent/page).
Print etiquette
One of ASU’s core values is sustainability, as such we have moved to using centralized network printing in-line with ASU’s carbon neutral goal. All of our Canon copier/printers have duplex (two-sided) capabilities to reduce carbon output, please consider using this feature. In fact, a 2011 study conducted at ASU found the environmental savings from duplex printing saved more than 725 trees and 2.34 million liters of water, and reduced carbon emissions by more than 74 metric tons. Please consider your environmental impact before printing and use duplex printing whenever possible.
Information for TAs and graduate students - TAs are allowed to print material to support the classes they are teaching for the department. All graduate students, including TAs, receive a 500 page print allotment per semester for research and course-related print needs. We realize that TAs need to print and make copies for class so there is no hard cap at this time. If your account shows high volumes of print and copy use, we will contact you directly.
Windows 10 - Dept ID Management | OS X/macOS - Dept ID Management | Windows Domain Computers
Windows 10
- Download the Windows driver from https://www.usa.canon.com/support/p/imagerunner-advance-4535i-iii. You can use the Generic Plus UFRII drivers or if you are using the ASU Print Anywhere driver, use the Generic Plus PCL6 driver.
- Download and run the driver installation package. Remember the location on your computer of the extracted files (generally the Downloads folder).
- Click in the search box (Type here to search) or search icon (magnifying glass) on [Red] > start typing in printer and you should see Printers & scanners appear in the menu [Blue] > click on that search result or hit enter if it is already highlighted.
- Click on the + Add a printer or scanner button [Red].
- After a moment or two, click on the link that will appear, The printer that I want isn’t listed [Red]
- Select the Add a printer using a TCP/IP address or hostname option [Red] and click Next.
- Type or paste in the IP Address for the printer you wish to add. Uncheck “Query the printer and automatically select the driver to use.” Click Next.
- Select [Red] “Have Disk…”
- Click [Red] “Browse…”
- Locate the location of the extracted drivers (generally the Downloads folder) and navigate to the Driver folder and select the driver file. Click “Open.”
- This should take you back to the Add Printer Wizard, click Next.
- You should customize the printer name [Red] so that you will know to which location you are printing. The driver will be shown under the printer name [Blue].
- If all went well, you can choose to make the printer your default printer and/or print a test page.
Additional instructions for Department ID Management settings.
- Click in the search box (Type here to search) or search icon (magnifying glass) on [Red] > start typing in printer and you should see Printers & scanners appear in the menu [Blue] > click on that search result or hit enter if it is already highlighted. Click on the Canon printer and select Manage [Red].
- Click on Printer properties [Red].
- Click on the Device Settings [Red] tab. Change the User Management dropdown to Department ID Management (if it isn’t already selected) then click on the Settings button [Blue] below the dropdown menu.
- In the Department ID/PIN Settings, check Allow PIN Setting and type in the last 4 digits of your ASU Affiliate ID number [Red] (located on the front of your SunCard). Confirm Department ID/PIN When Printing [Blue] should already be checked, then click Verify to confirm that your ID is working. Finally, click OK.
OS X/macOS
- Download the drivers from: https://www.usa.canon.com/support/p/imagerunner-advance-4535i-iii You can use the UFRII drivers or if you are using the ASU Print Anywhere driver, use the most recent PS driver.
- Double click the zip file to extract the dmg file.
- Double click on the .dmg file
- Follow the installer menu to install the drivers.
- From the Apple menu or Dock [Red] choose System Preferences. From the View menu choose Print & Fax [Blue](it may be labeled Printers & Scanners).
- If the padlock icon in the lower left corner of the System Preferences window is locked, click it and enter an administrator name and password to unlock it.Click the Add printer (+) icon at the bottom of the Printers pane to open the Add Printer window [Red].
- Click the IP button on the toolbar [Red]. IP printers have three printing protocols to choose from. Choose HP Jetdirect.
- Click the Address field [Red] and enter the IP address of the printer and wait for a few seconds until the computer contacts the printer. Consider changing the Name field to something that makes sense to you (i.e. 1st Floor main office, 127 Large Canon). From the Use dropdown menu, choose Select Software and the Printer Software menu appears [Blue].
- Begin typing in the model of the printer [Red]. When the model appears in the list [Blue], select it and click OK.
- When you return to the screen below you can make any final adjustments to the Name or Location field if needed and then click Add [Red].
Additional instructions for Department ID Management settings.
- Double click on the printer you just added [Red].
- In the window that opens, click Settings [Red].
- Under the Options tab, check Department ID Management [Red].
- On the Utility tab, click on Open Printer Utility [Red].
- Under the Authentication Function tab, select Department ID Management from the User Management dropdown list [Red]. Enter the last 4 digits of your ASU Affiliate ID (found on the front of your SunCard) [Blue]. Leave the PIN field blank. Check Confirm Department ID/PIN When Printing [Yellow]. Click Save Settings when you are finished.
- When you return to the Settings screen, click OK [Red].
ASU Network Printer Setup for Windows Domain Computers
These instructions are for Windows computers that are on the ASURITE domain (on the domain means that you are required to login to the computer with your ASURITE or ASUAD ID/PWD).
- Connect to the ASU Wi-Fi network (not guest) or Ethernet. If you are not on campus, connect to the Cisco AnyConnect VPN client.
- In the Windows search field (“Type here to search” or search icon in the lower left corner of the Windows desktop) type \\ASUPRINT1 and press Enter.
- A Windows File Explorer window will pop up. Type in rbh in the search box [Red] and the networked printers will appear in a list [Blue].
- Double click the printer you would like to add and the printer will be installed.
- The printers will ask for a Department ID code, use the last 4 digits of your ASU Affiliate ID as the ID and leave the password blank. If the last 4 digits of your ASU Affiliate ID do not work, or if you are new to English, use this form.
