Editing your Profile in iSearch

iSearch features a modernized look and feel and allows many more customizable sections. The Department website pulls from this resource so it is vital that your information is current. While you may have all this information on a standard CV, putting the information into iSearch as text helps search engines discover your profile. You can designate a person to have editing access to your profile and we have a small team in the department that can help edit your profile (Bruce Matsunaga and Kristen LaRue-Sandler.)
ASU requires completion of these areas for all ASU employees (https://brandguide.asu.edu/web-standards/isearch-profiles):

How to get started?
There are two methods for updating your profile, my.ASU or iSearch.
From my.ASU
- Log in at my.asu.edu
- Click on the Profile tab (highlighted in red below).
- Click on the Edit Profile button (highlighted in blue below).
From iSearch
- Search for your name at https://isearch.asu.edu
- Click on your name to open your profile page
- Sign in with your ASURITE (top right highlighted in red below)
- Click Update Profile (highlighted in red below).
Remember that this is on https://isearch.asu.edu and not on the department site. Your information from the old directory should be present in iSearch, however there are new areas and you can edit almost all fields (some are controlled by HR). You can edit multiple tabs and then click the Save button without losing your edits. In any area, when you click Save you will return to your profile view.
Critical Areas to Update:
- Profile image - The Office of the President strongly recommends using a recent headshot rather than childhood photos, book covers, or avatar images. **COVID-19 Update** The studio is closed. If you would like a headshot taken, you can make an appointment with Bruce Matsunaga or use the Marketing Academy’s guide to making your own headshot. If you need an updated headshot, view photography office hours, You can stop into Computing Commons room 125 any of those times without making an appointment. The photo shouldn’t take more than 5-10 min. If you are unable to make any of those times or have any questions please email photography@asu.edu.
- Contact Information/Office number and phone number - The phone number you check as “Work” and “Preferred” should be the one to appear on your profile. Similarly, the address you list as Campus Location should appear on your profile. If you don’t already have a Campus Location, add a new address and use your office number and ASU address (PO Box 871401, Tempe AZ 85287-1401). On the next screen, you can select this address as your Campus Location. Since your contact information is updated in HR, changes to your phone number and address will not be reflected on your profile immediately.
- Affiliations - Some individuals have more than one affiliation at ASU. The department that was used during the import is automatically set as the primary affiliation. If this affiliation is not correct, please contact your Directory Administrator(s). Secondary affiliations, such as Sustainability Scientist and adjunct positions, should be written into your bio text. - Expertise Area - You can list multiple areas from any unit. Clicking into a line and typing in a term is an easy way to search for areas.
- Biography - 300 word limit (max); 100 word limit (min); 3rd person. Use first and last name initially; last name thereafter. Do not list education here or write in primary affiliations that are already displayed. Use of "Dr." reserved only for M.D.
There is a “what you see is what you get” (WYSIWYG) editor, but you can edit the source code also.
- Note: do not use Word smart quotes for all the editable areas. While the smart quotes will display properly on iSearch.asu.edu they will be converted to inverted question marks during the multistep data migration process. Disable smart quotes in Word | Disable smart quotes in OS X
- Avoid using diacritic marks since they too will be converted to symbols during the migration process.
- Short Biography - Displays on directory pages under your name, 40 word limit, 3rd person. Use last name (Smith is a conservation biologist.), as per AP-style and ASU guidelines. This can be very helpful for students to find your research and specialty areas. This area is important since it displays on the directory views on our the department website and in search results.
- Education - list your degree, major, awarding university and year with the most recent degree listed first.
- CV - Upload your most current.
Use the CLAS iSearch Tool
CLAS released a tool to monitor unit progress (https://tools.clas.asu.edu) but you can use this tool to check your profile for completeness. If you search for “English,” you can click on your profile to view the improvements to bring your profile into compliance. There is a blue button at the bottom of the individual result window that will open your profile in a new tab so you can begin editing.
FAQs
- Expect a delay of at least two days before changes to your iSearch profile are reflected on the department site. The profile information is updated nightly between different servers until it arrives at the server units are allowed to access. See this illustration for a detailed visual explanation of this process.
- Changes made to areas that are part of HR will usually take a day before the change is reflected on your iSearch profile. Basically, this means anytime you are redirected back to My.ASU (changing your office and phone number for example).
- Because faculty HR titles officially change during semester breaks, the titles displayed were imported and must be manually changed by Bruce Matsunaga. Please contact bruce.matsunaga@asu.edu if your title has changed or is inaccurate.
Disable Smart Quotes in Word
Depending on your version, open Word and go to the Office button/File tab > Options > Proofing > AutoCorrect Options > AutoFormat as You Type tab > uncheck “Straight quotes with smart quotes” > AutoFormat tab > “Straight quotes with smart quotes” > OK > OK.
Once smart quotes are disabled, you can use Word’s Find and Replace to replace all the smart quotes with straight quotes.
Diacritic Marks Appear as Symbols on Unit Pages
Unfortunately, when our iSearch profile information is transferred to the intermediate server and then to our unit site, diacritic marks are converted to symbols. UTO has been working on a fix, but this solution may take a considerable amount of time to implement.
